Running a coaching centre means teaching, plus a second job: fee registers, WhatsApp groups, attendance sheets and follow-up calls. By evening, the admin is often still waiting.
The good news is that most of it repeats every week, in the same way. That is exactly the kind of work that is easy to automate. Here are five jobs to look at.
1. Fee reminders
Fee chasing is usually the biggest time-eater. Someone has to check the register, work out who is late, and then call or message each parent. It does not need to be done by a person.
- Reminders go out on WhatsApp a few days before the due date, then again on the day.
- They can be in English or Hindi, in a polite tone that you approve once.
- You can see who has paid without opening the register.
- Nobody on your team has to make awkward reminder calls.
A friendly WhatsApp message is easy for a parent to answer at a time that suits them. A late fee becomes a small, normal conversation instead of an uncomfortable one.
2. Attendance updates for parents
The teacher marks attendance on a phone during class. Parents of absent students get a short message the same day. There are fewer surprises at the parent-teacher meeting, and parents see that you notice. It also helps you spot a pattern early, such as a student who keeps missing Saturday classes, while there is still time to talk to the family.
3. Following up demo-class enquiries
Enquiries come from everywhere: WhatsApp, phone calls, the website. They are easy to lose, especially in the busy weeks before a new batch starts.
- Every enquiry goes into one sheet.
- Parents who came for a demo class get a follow-up message two days later.
- Nobody falls through the cracks.
A parent who is still deciding often just needs one friendly nudge. Without it, they quietly join the centre down the road.

4. The weekly report for the owner
Every Monday morning, you get one short summary on WhatsApp: fees collected, attendance, new enquiries and demo classes booked. No copying numbers from one sheet to another. You walk into the week knowing where things stand, instead of spending Sunday night adding things up.
5. Timetable and holiday notices
Change the timetable once, and the message reaches every batch group and every parent automatically. No more forwarding the same message ten times. When a holiday is announced or a test is moved, every parent hears about it the same hour, and your phone stops ringing with the same question.

Pick the one job that takes your team the most time. For most centres, that is fees.
It often runs on tools you already have, like Google Sheets and WhatsApp, so you do not need to learn new software. Run it alongside your current way for a couple of weeks before you switch over completely.
