Is AI safe for my customers' data?

The questions to ask before you put a chatbot in front of customers, and the answers you should expect to hear.

Your worry is a fair one. Customers share their names, phone numbers and sometimes personal details when they chat with a business. You want to know that this information is in safe hands.

The good news is that a carefully built assistant can be safer than what many businesses do today: chat histories scattered across staff phones, photos of forms sitting in a phone gallery, and customer details shared in big WhatsApp groups.

What happens to a message sent to an assistant

In plain words, three things happen. The message reaches the assistant. The assistant looks up the information you have approved, such as timings, services and answers to common questions. Then it replies.

The assistant should not wander off and invent things. It works from your approved information, and when a question is outside it, the right move is to pass the chat to your team.

The chat is also stored, so your team can read it later and step in when needed. That is useful, but it means two things matter a lot: where the chats are stored, and who can see them. A good provider can tell you both without hesitation. If the answer is vague, treat that as a warning sign.

5 questions to ask before you choose a provider

  1. Where are the chats stored, and who can see them? You should hear that they are kept in a protected system, and that only you and the people you allow can open them.
  2. Is my customers' data used to train anyone else's AI? The answer you want is no. Your customers' chats should not help another business's assistant.
  3. How long are chats kept, and can you delete them? A good provider has a clear answer on how long chats are kept, and can delete them when you ask.
  4. What does the assistant do with a question it can't answer? It should say so and hand the chat to a person. It should never guess.
  5. What happens to my data if I stop using the service? You should be able to get your data back and have the rest deleted.

India's data protection law, in brief

India has a law for this: the Digital Personal Data Protection Act, 2023. In general terms, it expects businesses that handle people's personal data to:

  • ask for consent, and use the data only for a clear purpose
  • keep the data safe
  • delete it when it is no longer needed
  • let people see, correct or delete their own data

Whatever tools you use, it helps to keep these ideas in mind. They are also just good manners: customers trust a business more when it is clear about what it does with their details.

Simple habits that keep data safe

Good tools help, but good habits matter just as much. These apply whether you use an assistant, a shared phone or a paper register.

  • Ask only for what you need. A name and a phone number are often enough.
  • Never ask for card numbers, Aadhaar or passwords in a chat.
  • Hand medical, money and complaint questions to a person.
  • Give staff access only to what they need for their work.
  • Delete old chats on a schedule instead of keeping them forever.
