Think about when people actually plan a doctor's visit. It's after work, after dinner, once the children are asleep. That's when they open WhatsApp and message two or three clinics nearby.

The clinic that replies first usually gets the booking. If your front desk sees the message at 9:30 the next morning, the patient may have already booked somewhere else, and you'll never know they asked.

What a WhatsApp assistant actually does

An assistant is a small program connected to your clinic's WhatsApp number. It's set up with your own information: doctors, timings, services, location and the questions patients ask most. It can:

  • answer questions about timings, fees you choose to share, location and parking
  • offer free slots and book the appointment into your calendar
  • send reminders before the visit, so fewer patients forget
  • reply in English, Hindi or a mix of both

What it should never do

A clinic assistant handles bookings and basic questions. It is not a doctor. A well-built one is set up so that it:

  • never gives medical advice or suggests medicines
  • points the patient to emergency help when something sounds urgent
  • passes anything unclear to your team, with the full chat attached

What it takes to set one up

You don't need new software or technical staff. Setting one up usually means a short call about how patients reach you today, a list of your common questions and answers, and access to your appointment calendar. You then test it yourself before any patient sees it.

It's worth considering if your team regularly finds unanswered messages in the morning, if the phone rings constantly with the same questions, or if no-shows are a problem. If most of your patients still walk in without booking, start with a simple website and online booking instead.
